Administrative Assistant
A growing men’s ministry in the United States is seeking a highly organized and detail-oriented Administrative Assistant to support communications, event coordination, digital publishing, and administrative operations.
This role is ideal for someone who thrives in a structured environment, communicates professionally, and takes ownership of recurring responsibilities with consistency and care.

Primary Responsibilities
Email Campaigns
- Create and send 3–5 email campaigns per week through Kajabi
- Maintain formatting, scheduling, and communication accuracy
Event & Registration Setup
- Create breakfast registration pages for local chapters
- Build offers in Kajabi
- Set up email sequences
- Update web pages and event pages
- Coordinate details with chapter leaders
Cohort Registration Support
- Create registration pages for ministry cohorts
- Build offers and sales pages
- Set up automated email sequences
- Update the interactive map using Elfsight
Monthly Event Support
- Create and update presentation slides for monthly breakfasts
- Finalize registration check-in sheets
- Send materials to chapter leaders
- Coordinate sponsor details for visibility across emails, websites, and social media
Podcast & Video Publishing
- Upload podcast files from shared drives into Kajabi
- Publish episodes on the podcast page
- Transcribe podcast content using transcription software
- Upload and publish episodes on YouTube
Video Publishing Support
- Complete video descriptions and publishing details
- Support social distribution of videos and short-form content
Social Media Publishing
- Publish scheduled content across:
- X
- TikTok
Administrative Support
- Respond to requests from leadership
- Answer questions from cohort and chapter leaders
- Handle general inquiries and send resources such as flyers or statements of faith
- Forward inquiries to appropriate staff when needed
Blog & Newsletter Support
- Upload blog content
- Assist in newsletter and content distribution
Graphic Design Support
Using Canva templates and brand guidelines, create and update graphics for:
- Breakfast events
- Cohorts
- Newsletters
- Long-form video thumbnails
- Social media content
- Promotional materials
Database Management
- Update contact records in Kajabi
- Maintain proper tagging and contact information
Additional Support Materials
- Prepare flyers, slides, and other materials for conferences, promotions, and ministry needs
Qualifications
Required
- A Christian aligned with the organization’s core values and statement of faith
- Strong attention to detail
- Pleasant and professional communication style
- High level of organization and follow-through
- Ability to manage recurring tasks accurately and independently
Technical Skills
- Strong working knowledge of Microsoft Office
- Experience using Adobe Creative Cloud
- Proficiency in Canva
- Strong email writing and communication skills
- Experience with Kajabi is an advantage (training provided)
